When you contact us, book a call, or fill out a form, we collect what you provide: typically your name, business name, phone number, email address, and your message. When you visit the site, our hosting provider may log standard technical data (IP address, browser type, pages viewed) for security and performance.
If you become a client, we also process the business information needed to build and run your website and phone system: your service list, service areas, business hours, photos you supply, and the contents of messages handled by your system.
We use your information to respond to you, provide and improve our services, schedule and hold calls you have booked, send messages you have asked for, and handle billing. We do not sell personal information. We do not use your information for advertising to third parties.
Parts of our service involve text messages: for example missed-call text-back, quote-form follow-ups, review requests, and appointment messages sent on behalf of client businesses, as well as messages we send you directly once you have opted in.
Two kinds of texting happen here and they are separate: messages we send you (covered by your opt-in above), and messages a client's own system sends that client's customers. For the second kind, the client is the sender: consent belongs to their customers, and every flow we set up includes automatic opt-out handling.
The site uses Google Analytics 4 to understand how visitors use it (pages viewed, approximate location, device type). Google Analytics sets cookies and receives standard technical request data, including your IP address. We use this only in aggregate, to improve the site; we do not use it to advertise to you. We also use Microsoft Clarity, which records how visitors move through a page - clicks, scrolling, mouse movement - so we can see where the site confuses people. Clarity masks the text you type into forms, and Microsoft may also use what it collects to improve its own products; their notice is at privacy.microsoft.com. The site also loads fonts from Google Fonts, which means Google receives standard request data when a page loads, and some pages embed third-party tools that may set their own cookies when you use them, such as our scheduling calendar and our contact form. You can control or delete cookies at any time through your browser settings, and the site works with cookies disabled.
We take reasonable technical and organizational measures to protect your information: the site is served entirely over HTTPS, information is stored with reputable providers that maintain their own security programs, access is limited to the people who need it to serve you (today, that is the founder), and accounts holding your data are protected with strong authentication. No method of transmission or storage is 100% secure, but if we learn of a breach affecting your personal information, we will notify you promptly.
We rely on a small number of providers to operate: website hosting, appointment scheduling, phone and messaging platforms, and payment processing. They receive only the information needed to perform their function for us and may not use it for their own purposes.
We keep prospect information for as long as we are in an active conversation with you, and client information for as long as you are a client plus any period required for tax and accounting obligations. You can ask us to delete your information sooner (see below).
You can request a copy of the information we hold about you, ask us to correct it, ask us to delete it, or unsubscribe from any communication, at any time, by emailing john@getrootline.com, and for text messages by replying STOP. We honor these requests regardless of where you live, and where a privacy law applies to you, nothing in this policy limits the rights it gives you.
If we change this policy, we will post the new version here with a new date. Material changes affecting active clients will be flagged to them directly.
